Dear Potential Vendors:

 

As we prepare for another exciting year at the Apache County Fair, we would like to invite you to join us as a valued vendor. This is a wonderful opportunity to showcase your business and connect with our vibrant community at one of the most beloved events in the region. The Apache County Fair dates are August 26th, 27th, 28th, and 29th!

 

Along with your booth rental fee, we are required to have all vendors provide the Fair with a Certificate of Insurance that covers your operation at the booth with a policy liability limit of $1,000,000. If you do not already carry insurance for what you will be doing in your booth you can pay an additional $80.00 to your other fees and our insurance carrier will add you to our policy for the days the Fair is in operation.

 

Please find attached an information packet containing all the details you will need to reserve your space for the upcoming fair. Please submit your completed application and insurance information. We will then email you an invoice with instructions on how you can pay for your space so please make sure to include an email address. Vendors are a part of what make the Apache County Fair a great and fun experience for all who attend, we look forward to having you join us.

Vendor Packet: Rules and Information

The following is the information you will need to participate in the Apache County Fair. Please read over all rules and regulationskeep the packet for your future reference, and send in the last page for your booth rental.

Exhibit Space

  • The Apache County Fair provides no special services with setting up your booth for the fair. We will provide the partitioned off space for your booth if rented inside, or open area for space rented outside, but you are required to do any additional set up including; tables, chairs, power cords and any other equipment.
  • The Apache County Fair will prepare the layout for the fair and all the booths and reserve the right to change the layout as we see necessary.
  • No verbal contracts will be honored. Each vendor must have a contract and payment received to reserve a space.
  • No Vendor will be granted exclusive rights to their product.
  • No selling weapons, tasers, THC products or memorabilia.
  • Booth spaces must be kept clean and be pleasing to the eye.
  • Exhibit Spaces will be available for setting up on Tuesday August 19, from 9 am to 6 pm. All vendors need to set up during this time.
  • All vendor vehicles must be removed from fairgrounds by 9 am each day. No vehicles will be permitted on fairgrounds after that time. Vehicles must remain in the parking lot. Re-stocking booths must be done prior to 9 am each morning. Vendors may stock booths by driving onto grounds each morning from 7 to 9 am. Refusal to follow this rule may result in not being allowed to be a return vendor. Safety is a priority.
  • All inside vendors must man their booth at all times during the fair and may not dismantle their booth until Saturday at 6 pm. (Hours listed below)
  • All outside vendors must man their booth at all times during the fair and may not dismantle their booth until Saturday at 9 pm. (Hours listed below)
  • No refunds will be granted if you cancel or are a “no show”.

 

 

 

 

Security

There will be overnight security during the fair. The Fair will not be responsible for any theft or damage.

Utilities

Apache County Fair will not provide generators, electrical adaptors, extension cords or water hoses. It is the Vendors responsibility to come prepared. We do not provide Wi-Fi.

Booth set up time is Tuesday August 19th, from 9 am to 6 pm.

No booth is to be dismantled until after 6:00 p.m. Saturday for inside vendors and 9 pm for outside vendors.  Area is to be cleaned and will be inspected by fair management.

Your booth must be manned at all times during the Fair and the booth may not be dismantled until closing time, Saturday at 6 pm for inside vendors and 9 pm for outside vendors.

Thank you for your interest in participating in the Apache County Fair! Below are the key details you’ll need. Please review all rules and keep this packet for reference. Be sure to return the last page, which includes the contract.

Exhibit Space

  • Although signed application and insurance information is required to reserve a spot, the contract will not be finalized until payment is received.
  • The Apache County Fair will organize and set up parking spaces and reserves the right to make layout changes as needed.
  • No verbal agreements will be accepted. A contract is required to reserve your space.
  • No vendor will have exclusive rights to sell a product.
  • Trucks/Selling Fronts must be clean and visually appealing.
  • Setup is on Tuesday, August 19th, from 9 am to 6 pm.

Fairground Access and Vehicle Rules

  • All vendor vehicles must be off the fairgrounds by 9 am each day and remain in the parking lot.
  • Product restocking is allowed from 7 to 9 am each morning. Vehicles must leave the grounds by 9 am.
  • Vendors who don’t comply with these rules may not be invited back. Safety is a priority.
  • Vendors are required to staff their booths during fair hours and may not take down their booths before 9 pm on Saturday.

Cancellations and No Shows

  • No refunds will be given for cancellations or no-shows.

 

Security

Health Department Approval

  • Vendors selling food must contact the Apache County Health Department at least three weeks in advance to complete the required application process: (928) 337-7932.

Ice will be sold throughout the event by Fair Staff.

No booth is to be dismantled until after 9 pm Saturday. The area is to be cleaned and will be inspected by fair management.
